Your WhatsApp assistant: tell it what changed
Fully booked, sold out, closing early: text or send a voice message to your own AI number and Boss updates it for you.
- Inbox, then Auto reply settings, then Team: under Alerts for you, fill in your own WhatsApp number (a different number from the company's WhatsApp). Only owners and admins can give orders.
- From that number, write to your company's WhatsApp number (the one the AI answers), by text or voice. For example: "Tomorrow is fully booked", "No bookings the day after tomorrow 9 to 12", "003 sea fish sold out", "Sea fish is back", "Closing at 5 today", "Stop the AI for an hour". It also keeps your own list: "Remind me at 3pm tomorrow to call Mr Tan", "New task: quote Sinar by Friday", "Claude bill USD216 every month on the 23rd" (or send a photo or PDF of the bill; it goes to Renewals with reminders before it is due).
- At the counter and for bookings: "Grace paid 120 cash" (a member gets points by themselves), "Amanda used one session", "Take 88 from Michelle's card", "Grace tops up 300, 30 free", "Book Ali for a Thai massage tomorrow 3pm" (if the time is taken, Boss tells you the free times), "Move Kelvin to Monday 4pm", "How many sessions does Amanda have left?".
- Money and paperwork: "Daniel paid 276 by transfer" records it on his invoice and sends him the receipt. "Quote Ali for 2 Thai massages and send it to him" or "Send INV006 to Daniel" sends the link. A customer only gets it on WhatsApp when they wrote to your number in the last 24 hours (WhatsApp's rule); otherwise Boss gives you the link to forward. Send a photo of a name card and the person goes into your customers.
- Boss replies with what it changed. Bookings already made stay; only new bookings stop at those times. A sold out item is not sold by the AI and shows 0 left in your shop.
- Made a mistake? Reply "undo" and the last change is put back.
- You can also ask: "How much did we take today?" or "How many bookings tomorrow?". Send "help" to see the examples.
- Every message from this number is an order to Boss. To test your AI as a customer from the same number, start each message with #. Customers write as usual: this only works from your own alert number.
